Office Administrator / Receptionist

Report to: Investor Administration Manager

Start date: April 2017

 

Role & Responsibilities

  • Greet all guests visiting the office
  • Answer all incoming calls to the main switchboard
  • Accommodate any guest requirements (make tea, coffee etc.)
  • Maintain meeting rooms, ensure they are tidy after meetings and up to standard
  • Oversee all office orders (Fruit, flowers, kitchen supplies, stationery supplies etc.)
  • Book meetings on behalf of senior staff
  • Reconcile the company card, phone bills and petty cash management
  • Record all staff holidays
  • Provide administrative support to senior staff, particularly the CEO

  • Great organisational skills
  • Able to prioritise workload efficiently
  • Very friendly with a professional attitude
  • Educated to A-level standard – or equivalent
  • At least 1 years’ experience of working within an office environment
  • Familiarity with the use of office equipment i.e. fax, photocopiers etc.
  • Implementing admin systems and databases
  • Excellent verbal communication skills with a good telephone manner
  • Good written skills
  • Computer literate, experience in word-processing, (Microsoft Word) combined with the ability to acquire other skills as necessary (e.g. CRM and spreadsheets)
  • Ability to work on own initiative and take responsibility where necessary and to work as part of a team
  • Ability to work to a high standard (and while under pressure)
  • Event organising assistance

 

Qualifications

  • Previous administrative experience is desired
  • Good English and Maths skills
  • Basic Microsoft Office skills
